7.3 Manage Patient Applications

Duration • 4.5 Minutes

AnovaOS allows site administrators to apply for study participation to any study linked to their account, using patient information to create an application. This is then sent to the sponsor administrator for review.

Managing applications

A site administrator will likely wish to apply for the studies they link to their profile. Some patients may have applications submitted to multiple studies, or the same study multiple times. This can be tracked in the patients tab:

  1. After logging into AnovaOS, personnel users must first select the organization account they are representing. This is not required for administrative users.
  2. From the dashboard, navigate to ‘Patients’ to access your patient list. Selecting a patient opens their profile, which includes clinical history, applications, and matched studies.
  3. Within the profile, the ‘Applications’ section displays all associated applications, sorted by the most recent status change. Pagination is available for lists exceeding ten entries. Application actions vary by status: ‘New’ allows viewing, editing, uploading, deleting documents, and withdrawal; ‘In Progress’ allows viewing and withdrawal; ‘Requested Additional Info’ allows editing, uploading, re-submission, and withdrawal; ‘Re-submitted’ allows viewing and withdrawal; ‘Approved’ allows viewing and managing documents; ‘Declined’ or ‘Withdrawn’ allows viewing only.
  4. Users can filter applications by status, sponsor, personnel, and more, or search by protocol title or ID.
  5. Clicking a Protocol ID opens study details, while clicking a Sponsor or Research Site contact opens their profile.

Note: Once a patient application has been submitted for participation in a study, the sponsor is notified of the application and will have the option to approve, decline, or request additional information. Should the application be approved, a patient profile utilizing de-identified clinical information provided will be autogenerated and appear in the patients tab.

Matched studies:

Matched Studies are also accessible from the patient profile and are determined based on demographics, clinical filters, application history, location, and activity. Studies are categorized into three tiers:

  • Those at the user’s research site,
  • Nearby studies within 100 miles,
  • All others, sorted by creation date.

Users can adjust the number of studies displayed per page and refine results using filters such as study status, type, trial phase, eligibility criteria, and whether healthy volunteers are accepted. Search functionality is available by protocol ID, short title, condition, intervention, or sponsor name. Filters can be reset or removed individually. From the matched studies list, users can view full study details and sponsor profiles, aiding in informed decisions regarding patient eligibility and next steps.

Patient Matching Algorithm

Within the AnovaOS platform, patients can be matched to a number of studies using an integrated algorithm. This uses the information recorded under a patients profile to identify any matches for a clinical trial registered to AnovaOS. To view this list:

  1. On the homepage, navigate to the patients tab.
  2. From here the user may select the relevant patient they wish to match to a study.
  3. By clicking on the patient, the user may view all the relevant information that has been recorded for that patient.
  4. To the right of the information tabs, select the ‘Studies’ tab to open a list of all studies identified to be suitable for the patient to enroll in. The more patient information provided, the more appropriate and suited the studies shown will be.
  5. To narrow the search field, use the filter options or search bar below the studies tab to view studies that match specific details, this includes, the trial status, trial phase, location, and eligibility criteria.
  6. By selecting the title of the desired study, the user may either apply for participation, or request compassionate use on behalf of the patient.
