View Document Management Solution Access
The document management system can be enabled or disabled for personnel accounts dependent upon an institution’s delegation of authority. This means that an administrator is able to enable or disable access to the document management system for users dependent on the users role and permissions.
To view the Document Management System Access of am institution’s admin account:
- Navigate to the profile name in the top right corner of the AnovaOS page to open the drop-down menu.
- From here, select ‘Organization settings’
- This will direct you to a DMS Status page which will display whether the account is enabled for the document management solution, providing the date for which this was enabled, or that the account is disabled.
View and Manage Access for Personnel
An administrative user of an AnovaOS account is able to provide, or withdraw, access to the document management solution for individual personnel registered. This means that the admin can grant access to edit, view, or sign a document to individuals given that authority within the institution, as well disable access to these functions for those users you do not have permission to handle institution documents. Access can provided for any combination of editing, viewing and signing a document, and can alter between individual documents. For example, a user can be granted access to edit, view and sign document A, but may also be permitted to only view document B.
To view and manage the document management system access for personnel:
- Navigate to the profile navigation panel using the drop-down menu accessible from the user’s name in the top right corner of the AnovaOS page.
- From here, select ‘My personnel’.
- This will display all the personnel accounts that have been linked to the Admin’s profile.
- Identify the personnel account of interest and navigate to the three dots in the top right corner of the profile card.
- From here, select ‘Document Access’.
- This will direct the admin user to the document access page where they may add and remove access to documents at any time.
- This may be done using the search bar and filter function to identify documents of interest for which the admin user wishes to either grant access, or remove access for that personnel.
- The admin user should use the check boxes adjacent to document to select if the user should be granted edit, view and/or signing permissions for that document.
- Repeat this for all appropriate documents.
- Ensure to select ‘Save’ at the end to save the permissions, otherwise the account will revert back to the last saved permissions.
